How can I share one e-mail account across multiple computers (e.g. Desktop and Laptop)?

If you have multiple computers that you use to send and receive mail, or if you travel and will be using unknown computers to read messages, you have several options to insure that your mail account is syncrhonized across these multiple locations.

Most mail reading software such as Outlook or Thunderbird is configured to use the "POP" protocol to retrieve mail from your account on our server.  This generally means downloading messages to your local system and deleting the message off of your account on the server.  This is still the preferred method if you will only be accessing your e-mail from a single computer and don't need to read the same messages from other locations.

To be able to share a mail account across multiple locations, you will need to change the way you retrieve and read mail.

  1. You can modify your POP mail settings to leave a copy of the message on the server even after you download it to your desktop.  We recommend that you still set a time limit on this, e.g. "leave it there for 15 days".
  2. You can switch to using the IMAP protocol in your mail program, which is even better designed to accommodate users who want to manage all of their mail on the server instead of downloading it to a single computer.
  3. You can use our webmail system to send/receive mail using a web-based interface.  This will allow you to check/send mail from wherever you have an Internet connection, regardless of what computer you are on.

Note that with all three of these options, you may eventually run into disk space quota issues, as our server will only hold a certain amount of stored mail per account, whereas your desktop/laptop computer can hold as much as you have space for on your hard drive.

For the details of setting up your mail software differently, we suggest that you refer to your network administrator and/or the help documentation that comes with your software.
